How Solenne handles personal information

This policy explains what information Solenne collects, how we use it, when we share it, how long we keep it, and what choices you have.

1. Scope and who we are

This Privacy Policy applies to the Solenne website, waitlist, early-access product, and related communications. References to "Solenne," "we," "us," and "our" mean the Solenne service and the people operating it under the Solenne name.

Solenne is not currently offered to individuals located in the European Economic Area, the United Kingdom, or Switzerland. If you are in one of those regions, do not use Solenne or submit personal information to us unless we have separately agreed in writing that the service is available to you.

2. Information we collect

Depending on how you use Solenne, we may collect:

  • waitlist information such as your email address and when you joined,
  • account information such as your email address, authentication records, name, timezone, and profile data returned by sign-in providers such as Google,
  • household information such as household names, member roles, invite records, and related activity,
  • email-routing information such as your Solenne forwarding address, message sender and recipient metadata, dates, subject lines, snippets, normalized message text or HTML, attachment descriptors or attachment content if processed, forwarding-verification details, and related processing state,
  • planning information such as extracted candidates, calendar items, tasks, deadlines, assignments, item history, and review feedback,
  • communications such as verification emails, invite emails, waitlist emails, onboarding messages, reminders, support messages, and feedback, and
  • usage, device, diagnostic, and analytics information such as page views, clicks, feature interactions, household grouping, browser events, IP-derived information, errors, log data, and similar telemetry.

3. How we collect information

We collect information when you submit a waitlist form, create an account, sign in, join or create a household, send or forward emails to Solenne, review extracted items, copy a forwarding address, click through the product, or contact us.

We may also collect information from other household members who invite you or add household content, from third parties whose emails or details appear in messages forwarded to Solenne, and from service providers involved in authentication, analytics, infrastructure, email delivery, inbound email processing, and AI-assisted extraction.

4. How we use information

We use personal information to:

  • operate, maintain, protect, and improve Solenne,
  • create and manage user accounts, households, and invites,
  • receive, normalize, route, and process emails that reach Solenne,
  • generate, display, review, edit, and store extracted planning items, calendar entries, tasks, reminders, and household history,
  • use AI extraction providers, currently OpenRouter routing to Gemini models, to identify planning information from forwarded email content,
  • send verification emails, invitations, service notices, waitlist updates, onboarding messages, reminders, and support responses,
  • debug issues, monitor performance, measure feature adoption, and improve reliability,
  • prevent abuse, fraud, unauthorized access, and misuse, and
  • comply with legal obligations and enforce our terms.

5. Analytics, cookies, and similar technologies

Solenne uses analytics tooling, currently PostHog, to understand how people use the public site and product. This may include page views, clicks, navigation events, waitlist events, feature interactions, device or browser information, approximate location derived from IP address, and identifiers stored in cookies or local browser storage.

We use analytics to understand feature adoption, monitor reliability, and improve the service. We do not sell personal information, and we do not share personal information for third-party targeted advertising. We do not currently respond to browser "Do Not Track" signals except where required by law.

6. When we share information

We may share personal information with service providers and processors that help us run Solenne, including providers for hosting and application infrastructure, authentication, email delivery, inbound email processing, analytics, AI extraction, monitoring, security, and customer support. These providers may include Convex, Resend, PostHog, Google, OpenRouter, and the model providers reached through OpenRouter.

Household content may be visible to other members of the same household according to their role and the product features available to that household. If you invite someone into a household, you are responsible for that decision and for managing their access.

We may also share information when required by law, to protect rights or safety, to investigate abuse or security issues, to enforce our terms, or as part of a reorganization, financing, acquisition, merger, asset sale, or similar transaction.

We do not sell personal information, and we do not share personal information with third parties for their own independent marketing.

7. Email-derived data and AI processing

If you forward emails into Solenne or configure Gmail forwarding, we use the resulting messages to extract planning information for your household. That can include sender details, recipient details, dates, subject lines, snippets, body content, verification content, links, attachment information, and extracted evidence tied to calendar items or review candidates.

Forwarded emails may contain information about children, family members, schools, activities, caregivers, medical appointments, payment obligations, or other third parties. You are responsible for forwarding only messages that you have the right and authority to send to Solenne.

Production extraction requests are configured so our AI routing and model providers do not train on or retain submitted email content. We do not use household content to train public AI models. Humans operating Solenne may review forwarded email content only when you request support, when necessary to investigate security, abuse, reliability, or operational issues, or when required by law.

We retain the email-derived data we need to operate the workflow, debug issues, support verification flows, and preserve the household record of extracted items. We may reduce, transform, or remove message content over time as product behavior evolves, but this policy should not be read as a promise that message content is never stored.

8. Children's and minor privacy

Solenne is designed for adults managing household logistics. The service is not directed to children or teens, and users under 18 may not create accounts or use Solenne independently.

Adult account holders may store or forward household information about minors, such as school, activity, appointment, deadline, or caregiver information, only when they have the legal right and authority to do so. Do not invite a minor to create an account unless Solenne has separately released a minor-account feature with appropriate consent and safety controls.

If you believe a child or teen has created an account, or that a child's personal information was provided without appropriate authorization, contact us and we will review the request.

9. International storage and transfers

Solenne is operated from Singapore and uses infrastructure and service providers that may process and store information in the United States, Singapore, and other countries. Those countries may have data protection laws that differ from the laws where you live.

Because Solenne is not currently offered in the European Economic Area, the United Kingdom, or Switzerland, you should not use Solenne from those regions or submit personal information governed by those regimes unless we have separately agreed in writing that the service is available to you. If we later support those regions, we expect to update this policy and related contractual safeguards before doing so.

10. Data retention

We keep personal information for as long as reasonably necessary to provide the service, maintain household records, support the waitlist, comply with legal obligations, resolve disputes, enforce our agreements, and protect Solenne and its users.

  • Waitlist entries may be retained until access is granted, the waitlist is closed, or deletion is requested.
  • Account, household, message, and planning information may be retained while your account or household remains active.
  • Support, security, analytics, and diagnostic records may be retained for a reasonable period after the underlying interaction.
  • Deleted-account and deletion-request workflows may complete asynchronously, and some information may remain in backups, logs, audit records, or legal-preservation records for a limited period.

11. Your choices and requests

Depending on your use of Solenne, you may be able to:

  • update your profile details inside the app,
  • stop forwarding emails to Solenne at any time,
  • remove household members or leave a household,
  • request removal from the waitlist,
  • delete your account, or
  • contact us to request access, correction, deletion, portability, or withdrawal of consent where required by applicable law.

We may need to verify your identity and account authority before acting on a request. We may decline or limit a request where allowed by law, including when information must be retained for security, legal, dispute-resolution, backup, or household-integrity reasons.

12. Security

We use reasonable administrative, technical, and organizational measures to protect personal information. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security. You are responsible for securing your account credentials and for configuring email forwarding rules carefully.

13. Changes to this policy

We may update this Privacy Policy from time to time. If we make a material change, we will post the revised version here and update the effective date above. Your continued use of Solenne after the updated policy takes effect means the revised policy will apply, except where applicable law requires a different form of notice or consent.
